Project Delivery: the key to a strong start and smooth collaboration

At Moneypenny, we continuously evolve—not only as an organisation, but also in how we shape and optimise our services. An important part of this is the role of Project Delivery, carried out within Moneypenny by Mariëlle van den Biggelaar. With her background as a Virtual Assistant, Personal Assistant and account manager, she brings extensive hands-on experience to the role.

As she puts it herself:
“A flying start and a smooth landing. That’s one of my roles within Moneypenny.”

Project Delivery: the key to a strong start and smooth collaboration

Starting strong

The beginning of a collaboration between a client and a Virtual Assistant (VA) is not always straightforward. Clients seek support because they are busy, but often don’t yet know exactly where to begin. What can be delegated? How do you set up the collaboration efficiently? And how do you get the most out of the support?

At the same time, VAs need to demonstrate their value in a different way, precisely because the collaboration is fully remote.

Project Delivery operates exactly at that intersection. By being involved from the very start, clarity and direction emerge more quickly.

I always look at things from two perspectives: that of the client and that of the VA. Where is someone getting stuck? What could be more efficient? And what is the smartest way for us to work together?

The focus lies on creating clear agreements, smart structures and practical frameworks—essential within a model based on asynchronous, location-independent working.

Creating clarity and structure

A strong start is not only about managing expectations, but also about organising the practical side of the work. Think standardising tasks, implementing the right tools and structuring processes.

Project Delivery helps clients define what they actually need and supports VAs in setting up workflows that are scalable and transferable.

I help clients clarify what they need and how we can structure that in a way that allows them to get the most out of the collaboration.

An important part of this is documentation. VAs document their work, including processes, contact persons and relevant information. This creates a way of working that does not depend on one individual.

Smooth transitions

While the role of Project Delivery begins during onboarding, the focus afterwards shifts to safeguarding continuity. When a VA changes—for example due to holiday leave, absence or departure—we ensure a smooth transition.

By documenting processes carefully, guiding handovers properly and reviewing workflows at the right moments, the work continues exactly as the client expects.

When a VA changes, the client ideally shouldn’t notice anything at all. Everything should simply continue running smoothly.

This means clients don’t need to start from scratch or explain everything all over again. That continuity is one of the strongest pillars of Moneypenny’s service.

Continuous improvement

The role of Project Delivery reflects what Moneypenny stands for: continuously improving, refining and finding smarter, more effective ways to collaborate.

Do you recognise the challenges of a difficult start or a disruptive handover? Or are you curious about how asynchronous collaboration can truly work well in practice? We’d be happy to discuss it with you.
